Rent Hub Privacy Policy
This policy explains how Rent-Hub collects, uses, shares and protects personal information through our rental app and RENT-HUB.CA. Privacy responsibility rests with our designated Privacy Officer. Contact Support@rent-hub.ca. We handle information under applicable Canadian privacy law, including PIPEDA where it applies and applicable provincial requirements.
Information we collect
Account and profile information: name, email, phone number, login identifiers, profile details you supply, and records of verification and consent. Listing and request information: item descriptions and photos, prices, availability, city or postal code and information you publish when seeking or offering an item. Rental information: booking dates, approval and cancellation events, QR pickup and return confirmations, payment status, refunds, reviews, and reward eligibility and credit transactions.
Communications and disputes: messages sent through the app, support correspondence, reported content, condition photos and documents supplied to resolve a rental or payment issue. Technical information: IP address, device and app details, timestamps, diagnostic and security logs, and push notification tokens where notifications are enabled. We collect only technical information actually needed for the purposes described below; optional analytics must be explained separately where enabled.
Payment and payout information: Stripe payment/customer references, transaction amounts and status, and limited payment-method details needed for receipts or support. Card and bank details entered into Stripe-hosted or Stripe-provided payment and onboarding interfaces are handled by Stripe. Rent-Hub does not require you to send full card numbers, security codes or banking passwords in chat or support messages.
Location and permissions: Rent-Hub does not collect device location or track your location in the background. City, postal code or pickup details you choose to provide are used for listings and handoffs. Camera access supports QR scanning and item photos; photo access supports images you select. We explain a permission’s purpose when requesting it.
Identity checks: Rent-Hub does not separately ask users to upload government-issued ID or verification selfies. Stripe may request identity and financial information for owner payouts under its own notices.
Why we use information
We use information to create and secure accounts; publish listings and requests; match nearby users; process rentals, payments, refunds and owner payouts; enable handoff confirmations and messages; calculate promotional credits; deliver service notifications; answer support requests; investigate fraud, safety reports and disputes; enforce platform rules; maintain reliable service; and meet legal and recordkeeping obligations. We do not treat acceptance of the Terms as blanket consent to unrelated data uses.
Rent-Hub does not send promotional emails. We may send necessary emails about accounts, rentals, payments, security, support and legal notices.
What other users can see
Public listing, request and review pages may display the profile name and photo used in the app, listing or request content, ratings, and the city or postal code shown for an item. Information posted publicly can be copied by others. Avoid putting your home address, phone number, email or another person’s personal information into public text or photos.
Rental participants see information needed to complete their transaction, including booking details, messages, handoff records and relevant dispute evidence. Contact details are restricted before successful approval payment and may then be disclosed for pickup and return arrangements. Your full payment card details, bank details and private verification records are not shared with another user to arrange a rental. Dispute information is shared only as reasonably necessary and with unrelated sensitive details removed where practicable.
Messaging and moderation
We store app messages to deliver conversations and maintain rental records. Automated screening may detect or block contact details and attempts to move payment outside the app. Rent-Hub administration and management can access user records and chats for operating the service, support, safety, moderation and disputes. Screening is imperfect. Messages are not represented as end-to-end encrypted. Contact support to challenge a moderation action.
Service providers and other disclosures
We use Stripe to process payments and connected-account payouts. Stripe handles payment and verification information under its privacy notice at https://stripe.com/privacy. We use a cloud database service to store Rent-Hub account and app records. Service providers receive information needed to perform their functions. Rent-Hub administration and management can access app records and chats for the purposes described in this policy.
We may disclose relevant information where legally required, to respond to a valid legal request, or as lawfully necessary to address fraud, protect rights or respond to a safety emergency. We assess requests rather than promising unrestricted access. A business transfer may involve necessary information subject to applicable law, confidentiality protections and required notice or consent. We do not sell personal information. Any future advertising-related disclosure or materially different purpose will be explained and consent obtained where required before it begins.
Processing outside Canada
Cloud storage and payment processing may involve handling information outside Canada, where local laws may permit access by public authorities. Rent-Hub remains accountable for information transferred for processing. Contact our Privacy Officer with questions about processing locations.
Consent and your choices
We explain necessary information uses when you sign up or use a feature. Optional uses have a separate choice; sensitive or unexpected collection requires express consent where applicable. You may withdraw consent subject to lawful restrictions and reasonable notice. We will explain whether this prevents a particular feature or requires account closure. Changing a device permission does not automatically delete information already lawfully collected.
You can manage push permissions on your device. We seek new consent where legally required for a materially different purpose; simply editing this policy does not supply that consent.
Retention and account deletion
We retain account and app records while reasonably needed to operate the service and meet applicable obligations. On an account-deletion request, we delete the account and associated Rent-Hub records together within 10 business days, except information we are legally required to retain. We explain any such exception to the requester.
Request account and associated personal information deletion using the Delete Account option in the app or by emailing Support@rent-hub.ca. We may verify that the request comes from the account holder. Deletion is completed within 10 business days, with associated Rent-Hub records deleted at the same time, subject to legally required retention. Other users may retain their own transaction records or copies of public content, and Stripe handles its payment records under its own policy. Before completing deletion, we tell you your unused promotional credit balance and warn that deletion forfeits it. Owner earnings and cash refunds lawfully owed remain payable.
Access correction and complaints
Contact our Privacy Officer to request access to your personal information, information about its use or disclosure, correction, or an explanation of our practices. We may verify your identity using proportionate measures. Under PIPEDA, access requests are generally answered within 30 calendar days, with any lawful extension explained within the required period. We explain a refusal and available complaint rights, subject to legal limits such as another person’s privacy.
You may raise a concern with us and may complain to the Office of the Privacy Commissioner of Canada at https://www.priv.gc.ca or an applicable provincial privacy regulator. You do not have to waive that right to use Rent-Hub.
Safeguards and incidents
Rent-Hub uses one-time passcode (OTP) authentication. Stripe applies its own security measures to payment processing. Access to Rent-Hub records and chats is available to administration and management for service-related purposes. No system can guarantee absolute security. We assess suspected privacy incidents, take corrective steps and make notifications and maintain incident records where required by law.
Age limits and device permissions
Rent-Hub accounts are intended for people who are at least 18 and have reached the age of majority where they live. We do not knowingly establish accounts for children. If you believe a child has supplied personal information, contact the Privacy Officer so we can investigate and take appropriate steps.
Device permissions can be managed in your device settings. If we introduce optional analytics or tracking, we will explain what information is collected, its purpose and your choices, and obtain consent where required before it begins.
Updates and contact
We publish the effective date and keep this policy accessible in the app and on RENT-HUB.CA. We notify users of material changes and obtain additional consent when legally required. Contact: Privacy Officer, Rent-Hub, Support@rent-hub.ca.
